Executive Assistant

Qualifications:

BA/BS Degree in Business Administration OR Minimum of 10 year(s) of experience in Office Management

Duties:

Performs a variety of management and executive functions for the Organizational Management and Integrity Staff that require a high degree of insights into the office's priorities, policies, and administrative procedures. Possession of skills in mgmt. and organizational techniques. Must have ability to manage multiple projects.

  • Help with general administrative duties (calendar maintenance for management, ensuring specific equipment is ready for meetings, providing briefing materials, preparing simple Excel spreadsheets and flyer advertisement, etc.) 20%
  • Deals with a wide variety of situations requiring a high degree of tact, maturity and sensitive. Ability to properly handle information/documentation containing sensitive and/or confidential data (i.e., copying materials related to human resources matters.) 20%
  • Hand delivers time sensitive packages and documents to other EPA buildings in DC and VA area (via EPA shuttle bus when applicable) 10%
  • Receives, sorts and distributes incoming mail for the office. Opens and date stamps incoming mail for the OSWER Assistant Administrator's office. Assists with inputting correspondence data into the Agency's Correspondence management tracking (CMS) system. 20%
  • Provide editorial support in preparation and review of correspondence and documents for basic grammar, punctuation and clarity of expression, as well as proper formatting in conformance with the agency's correspondence procedures. Edit documents as well as communications materials for the program.. 10%
  • Assistance with identifying office needs (i.e. supplies, copy paper etc.) 10%
  • Provides filing support to the OMIS Director and staff. Modifies and /or improves current filing systems, or implements new filing systems. Sorts or classifies information according to guidelines such as contact, purpose, user criteria, or chronological, alphabetical, or numerical order. Adds new material and create records as necessary. 10%
