Executive Assistant Support

Qualifications:

AA Degree OR Minimum of 10 year(s) of experience in communications, Administrative Support, and Travel Support, Previously completed training in Microsoft Office software necessary

  • Experience managing multiple projects, and skilled in providing excellent customer service
  • Experience required with MS Word, Excel, Access, PowerPoint, Fax, Copying Machine, Scanner

Duties:

SEE Enrollee will serve as an Executive Assistant in the Office of Civil Enforcement's Immediate Office serving as the FOIA Coordinator, providing administrative assistance, and assisting with travel support to management and staff members.

  • FOIA Coordinator for OCE. Manage Freedom of Information ACT requests for the Office. Perform literature researches on intranet and within FOIA online system to address inquiries, prepare draft correspondence responses when possible, coordinate responses with subject matter experts, tracks request deadlines, provides weekly update on all outstanding FOIAs, and uploads response in accordance with FOIA laws and regulations. 25%
  • Prepare, edit, and review letters and memoranda for final print, distribution and filing ensuring conformance with agency correspondence manual. Organize and maintain OCE/IO records in accordance with the agency's records retention schedules. Create spreadsheets and develop and maintain databases as needed for tracking purposes. Assist mangers and staff in originating and assembling briefing books and copying distributing documents. (Must be comfortable in Microsoft Word, Excel and PowerPoint) 25%
  • Provide direct support to the OCE/IO managers including answering telephone calls, scheduling meetings and monitoring their calendars for conflicts. SEE Enrollee maybe required to set up and participate on bi-monthly conference calls with 5-20 callers. From time-to-time , the SEE Enrollee will participate in conference calls and take notes and transcribe them for distribution. The SEE Enrollee will also be asked to analyze various issues, prepare summaries of issues, and assist in preparing materials for the OCE/IO managers. 25%
  • Provide administrative support to the Crosscutting Policy Staff (XPS) on crosscutting enforcement policy and coordination issues, especially those involving disseminating, collecting and compiling information from OCE divisions (e.g. rule tearing assignments). 15%
  • Provide administrative support to OCE/IO mangers and staff members creating all necessary travel reservations and documentations via an electronic travel system. This includes assisting OCE/IO mangers in developing travel budgets by assembling travel requests and researching cost estimates for trips. 10%

Other:

  • EPA provides on-line training via Skillport, which will be available to the Enrollee to hone skills or introduce to newer versions of Microsoft Office software that may not have been exposed to.
